Review draft 2026-09-12.1 · September 12, 2026 · Not yet effective

This is a proposed update for review. It does not amend an existing agency agreement or replace the currently effective terms.

Start with your agency agreement

Your signed agency agreement, order form and any incorporated addenda establish the terms of your CrimeMiner service. This center explains where to find the relevant documents and how to request an agency-specific review.

A website update does not silently amend a signed agreement. Ask the team to identify the version of any online terms incorporated into your contract, and keep that version with your procurement records.

Terms of Service

The proposed Terms cover agency access, authorized use, AI-assisted work, evidence ownership, billing and termination. Pricing is set in the agency’s order, not an obsolete table of recording-hour allowances.

Privacy & data handling

The Privacy Policy distinguishes website inquiries and account information from agency-controlled evidence. It explains the processing performed on video, audio, documents, images, archives and supported warrant returns.

License & authorized access

CrimeMiner is licensed for the agency and authorized users identified by the applicable agreement. Individual accounts and case permissions control who can work with evidence. A partner inquiry does not grant access to an agency’s cases.

See Account access and license for the proposed service terms. If your agency has a separately executed license agreement or EULA, request that document’s controlling version from the team. This summary does not replace it.

Data-processing review

CrimeMiner processes agency-supplied material to deliver the requested analysis and work products. Agencies determine the lawful purpose, authority to submit material, case access and use of results.

For procurement, identify the requirements your agency needs documented:

  • Processing purpose, evidence types and authorized users.
  • Hosting, model processing and the service providers involved.
  • Access controls, incident contacts and contractual notification requirements.
  • Retention, legal holds, exports and the scope and timing of deletion.
  • The agency’s CJIS review and any required security addendum.

Request the applicable data-processing terms and security materials through contact@chuqlab.com. This checklist is not itself a signed Data Processing Addendum.

Security & CJIS review

CrimeMiner’s evidence storage, databases, search and transcription services run on Google Cloud in U.S. regions, with customer-managed encryption keys on evidence storage. As of October 2026, AI model inference on Google Vertex AI and Google’s speaker-diarization speech service are reached through Google’s global endpoints, which do not commit to processing within a specific region. Database access uses a private network connection; the evidence service uses internal ingress.

Organization-level row isolation and case-membership checks restrict evidence access. Tool executions are recorded as audit events retained for at least one year (as of October 2026). Authentication is handled through Clerk. These are specific controls, not a claim that every vendor system or every data category uses the same configuration.

Agency CJIS requirements, the FBI CJIS Security Addendum, personnel screening and any additional controls must be addressed in the agency’s review and agreement. Request the documented control scope rather than treating a marketing label as an agency approval.

For a review, provide your agency’s security contact and requirements. Do not attach evidence or credentials to the public contact form.

Retention, export & deletion requests

Do not assume that ending a subscription automatically deletes uploaded evidence. A standard automated evidence-retention or contract-end purge schedule is not currently implemented.

An authorized agency contact should request the required export, hold or deletion action and obtain written confirmation of scope and timing. Include the agency name and a contact method, not case contents. Existing contractual obligations remain applicable; this draft does not reduce an agency’s existing rights.

Agencies must preserve original evidence and chain-of-custody records in their own systems. CrimeMiner is a secondary analysis and discovery service, not the authoritative evidence repository.

Cookies & third-party services

The application uses authentication and session technologies to support sign-in. Hosting and security providers may process technical request information. Review the Privacy Policy for the distinction between the public website and the signed-in application.

You can manage cookies through your browser; blocking required session cookies may prevent sign-in. This site does not currently offer a separate cookie-preference panel.

CrimeMiner Partner Program

The retired-officer Partner Program is separate from an agency’s software agreement and from customer reference or testimonial arrangements. The local program page describes the proposed Sontara-based model and provides an inquiry form.

Final participation terms, agency procurement eligibility and onboarding must be established before paid referrals begin. Submitting an inquiry is not enrollment or agreement acceptance.

Accessibility support

We work to make the website usable with a keyboard, clear headings, labeled forms and readable contrast. Automated checks are part of that work, not a certification that every workflow meets an accessibility standard.

If you encounter a barrier, contact contact@chuqlab.com with the page URL, the task you were attempting, your browser or assistive technology, and a way to reach you. Please omit sensitive information. Ask for an alternative way to obtain the information or contact the team.
